Payment Schedule for Trekking and Trekking Peak Members

Upon accepting your participation in a trek with Trekker Nepal, a 30% non-refundable deposit is required within one month of confirmation to secure your spot. The remaining full payment is due 30 days prior to the trek’s departure date to ensure all arrangements are finalized.

1. Trekker Nepal Cancellation & Booking Amendment Policy,

  • Cancellation by Partner Companies or Trekking Members

Trekker Nepal understands that unforeseen circumstances may prevent you from traveling. If you cannot participate in your booked trek due to valid reasons such as death, injury, serious illness (your own or a close relative or friend), redundancy, or jury service, you may:

  • Postpone Your Booking or
  • Transfer Your Booking to Another Person, provided they meet all the tour requirements, submit the necessary documents, and agree to adhere to Trekker Nepal’s terms and conditions.

For any changes to your original booking, you must submit a formal written request detailing the changes. The following cancellation fees will apply:

  • Cancellations Made More Than 120 Days Before Departure
    • A $200 fee will be deducted from the original deposit.
    • Bank charges for processing refunds will also apply.
  • Cancellations Made Between 60 and 120 Days Before Departure
    • A $600 cancellation fee will apply.
    • Bank charges for processing refunds will also apply.
  • Cancellations Made Less Than 60 Days Before Departure
    • The full booking amount will be retained, with no refund.

2. Booking Transfers by Trekking Members

If you wish to transfer your booking to another trek offered by Trekker Nepal, the following conditions will apply:

  • Transfers Made More Than 120 Days Before Departure
    • Free transfer to another trek.
    • Additional charges or refunds may apply based on the advertised price of the new trek.
  • Transfers Made Between 60 and 120 Days Before Departure
    • Free transfer if a replacement participant is found.
    • If no replacement is found, a $150 transfer fee will apply.
    • Additional charges or refunds may apply based on the advertised price of the new trek.
  • Transfers Made Less Than 60 Days Before Departure
    • A $300 transfer fee will apply if a replacement participant is found.
    • Additional charges or refunds may apply based on the advertised price of the new trek.

3. Cancellations by Trekker Nepal

Trekker Nepal is committed to organizing all treks and expeditions as scheduled. However, in rare and unavoidable circumstances beyond Trekker Nepal’s control, cancellations may occur. In such cases, Trekker Nepal will engage in transparent communication with members to reach a mutual agreement.

If a cancellation is due to insufficient group numbers, the following policies will apply:

  • Full refunds will be issued for all payments made, minus applicable bank charges.
  • Alternatively, payments can be transferred to another Trekker Nepal trek or expedition, with adjustments for the new trek’s advertised price.
  • If transferring to another operator’s trek or expedition, adjustments will be made for the price difference, minus applicable bank charges.

4. Important Additional Notes

  • No-Show Policy: If a participant fails to show up for the trek without prior notice, the full amount will be retained, and no refunds or transfers will be allowed.
  • Force Majeure: In cases of unforeseen events such as natural disasters, political instability, or any other force majeure event, Trekker Nepal will do its best to reschedule or provide alternative solutions. Refunds may be subject to deductions for any non-recoverable costs.
  • Refund Processing: All refunds will be processed within 14 working days of receiving a cancellation request.
  • Insurance Recommendation: We strongly advise all participants to have travel insurance that covers cancellations, trip interruptions, and emergencies.
