A participant may cancel their trek or expedition for valid reasons, including but not limited to personal illness, family emergencies, redundancy, or jury duty.
All cancellation, postponement, or transfer requests must be submitted in writing (email or official letter).
The following cancellation fees apply from the date Trekker Nepal receives written notice:
More than 120 days before departure
USD 200 cancellation fee deducted from the deposit + applicable bank charges
Between 60 and 120 days before departure
USD 600 cancellation fee + applicable bank charges
Less than 60 days before departure
❌ No refund – 100% of the total trip cost is forfeited
Note: Bank charges, credit card fees, and third-party transaction costs are non-refundable in all cases.
Participants may request to postpone their trek or transfer their booking, subject to Trekker Nepal’s approval and availability.
More than 120 days before departure
✔ Free transfer
(Subject to price difference, seasonal rate changes, and availability)
60–120 days before departure
✔ Free transfer if a replacement participant meeting all trek requirements is provided
USD 150 transfer fee if no replacement is provided

Less than 60 days before departure
USD 300 transfer fee if a replacement is provided
(Subject to price adjustment and availability)
❌ No transfer permitted without a replacement
All replacement participants must meet the same fitness, permit, and documentation requirements as the original participant.
In rare circumstances beyond Trekker Nepal’s control—including but not limited to natural disasters, severe weather, political unrest, government restrictions, pandemics, or force majeure events—Trekker Nepal reserves the right to cancel a trek.
In such cases, clients may choose one of the following options:
✔ Full refund of payments made, minus bank and third-party charges, or
✔ Transfer the booking to another Trekker Nepal expedition (subject to price difference and availability), or
✔ Switch to another operator, with a refund of the transferable portion minus bank charges
If a trek is canceled by Trekker Nepal due to insufficient participant numbers, all payments received will be refunded in full, including the deposit (excluding unavoidable bank charges).
Please note that the following costs are non-refundable once issued or booked:
Government permits and fees
Peak climbing permits
Domestic flights, helicopter charters
Hotel reservations with cancellation penalties
Third-party services already paid on behalf of the client
These costs will be deducted from any applicable refund.
All participants are strongly required to have comprehensive travel insurance covering:
Trekking and high-altitude activities
Emergency evacuation (including helicopter rescue)
Trip cancellation and interruption
Trekker Nepal is not responsible for costs covered under personal travel insurance.
Trekker Nepal reserves the right to:
Interpret and apply this policy fairly
Make minor adjustments to itineraries for safety or operational reasons
Update this policy as required by government regulations or operational needs
