Trekker Nepal – Booking, Cancellation & Transfer Policy
1. Booking & Advance Payment
- To confirm a trek or travel activity, 30% of the total amount must be paid in advance at the time of booking.
- This advance payment is non‑refundable and serves as a booking confirmation.
- The remaining balance must be settled before the trip departure, as per the agreed payment schedule.
2. Cancellation by Trekking or Peak Members
We understand unforeseen circumstances may arise. You may cancel your trek for valid reasons such as illness, family emergencies, redundancy, or jury duty.
- Requests must be submitted in writing (email or letter).
- Postponement or transfer to another person is permitted, provided the replacement participant meets all trek requirements.
Cancellation Charges
- More than 120 days before departure: USD 200 cancellation fee deducted from deposit, plus bank charges.
- Between 60–120 days before departure: USD 600 cancellation fee, plus bank charges.
- Less than 60 days before departure: No refund; full payment is forfeited.
Important Note: Travel insurance is strongly recommended to cover cancellations due to medical or personal emergencies.
3. Transfer Policy
Members may transfer their booking to another Trekker Nepal trek or to another individual, subject to the following conditions:
- More than 120 days before departure: Free transfer, subject to price adjustments for the new trek.
- Between 60–120 days before departure:
- Free transfer if a replacement participant is found.
- USD 150 transfer fee if no replacement is found, subject to price adjustments.
- Less than 60 days before departure:
- USD 300 transfer fee if a replacement participant is found, subject to price adjustments.
- If no replacement is found, full payment is forfeited.
4. Cancellation by Trekker Nepal
In rare circumstances beyond Trekker Nepal’s control (e.g., natural disasters, political unrest, pandemics, or government restrictions), a trek may be cancelled. In such cases:
- A full refund will be provided, minus bank charges.
- Members may choose to:
- Transfer their booking to another Trekker Nepal expedition (with price adjustment), or
- Switch to another operator (refund provided minus bank charges for the transferable portion).
- If cancellation is due to insufficient bookings, all payments will be refunded in full.
5. Additional Terms & Conditions
- Deposits: All deposits are non‑refundable but may be applied toward a future trek if cancellation occurs more than 120 days before departure.
- Bank Charges: All refunds are subject to deduction of applicable bank or transfer fees.
- Insurance: Participants must hold valid travel insurance covering medical emergencies, evacuation, and trip cancellation.
- Force Majeure: Trekker Nepal is not liable for cancellations, delays, or changes caused by events beyond its reasonable control (including weather, strikes, or government actions).
- Responsibility: Participants must ensure they meet health, fitness, and visa requirements for the trek.
- Communication: All changes, cancellations, or transfers must be confirmed in writing.
- Liability: Trekker Nepal will not be responsible for additional costs incurred due to delays, missed connections, or unforeseen circumstances.
